1     William Cartwright and Associates t/a Heritage Planning Design (hereon in referred to as "HPD") are committed to ensuring that your privacy is protected. This privacy policy explains how HPD use and electronically store the information collected about you and your property via our website, email, postal correspondence or any other means, including conversation. It also explains how you can instruct us if you prefer to limit the use of that information and procedures that are in place to safeguard your privacy.


The information we collect and how we use it

2     When you enquire about or use HPD's services we need to know your name, postal address, email address and telephone number. We will also need to collect information relating to the property and/or land which is the subject of your enquiry or the services we provide you with. Such information relating to the property and/or land may include postal address, ownership details, maps, information relating to its planning history, and detailed information relating to its physical appearance and characteristics, including photographs, drawings and surveys.


3     This information is gathered to allow HPD to communicate with you and any relevant authorities, persons or companies with your agreement and on your behalf. It will also be used to prepare, submit and support any application(s) to the relevant authorities, with your agreement and on your behalf, under the Planning Acts, Building Regulation Acts or other legislation relevant to the services HPD provide you with. HPD may communicate the information held or make application(s) to the relevant authorities via any medium, including e-mail and the internet.


4     HPD collects aggregate information and statistics via Namesco and Google using cookies for the purposes of monitoring website usage in order to help us develop the website and our services and may provide such aggregate information to third parties. These statistics will not include information that can be used to identify any individual.


5     HDP may also wish to provide you with information about special features or any other service or products that may be of interest to you. If you would rather not receive this information, please send a blank email message to will@heritageplanningdesign.co.uk with the word "Unsubscribe" in the subject box and you will be removed from our email list.                       


How we protect your information

6     The internet is not a secure medium. However, HPD has various security measures in-place including password protection, anti-virus software and a firewall. Information may also be stored on mobile storage and communication device(s) such as smart phones and external hard drives. HPD always keeps your information confidential and it is never given or sold to a third party without your agreement. However, you should be aware that the relevant authorities will make publicly available and publicise information relating to applications made under the Planning Acts or other relevant legislation. The internal procedures of HPD cover the storage, access and disclosure of your information.


Updating your details

7     If any of the information that you have provided to us changes, for example, if you change your email address, name or address, please let HPD know the correct details. Your information will be held in our systems until HPD deem it is no longer needed, unless you specifically request that it is removed.

8     By submitting your information you consent to the use of that information as set out in this policy. If HPD's privacy policy is changed such changes will be posted on this page and HPD may also place notices on other pages of the website, so that you may be aware of the information we collect and how we use it at all times. HPD may also email you should we make any changes so that you may consent to our use of your information in that way.  Continued use of our website or services will signify that you agree to any such changes.
